Phoron Brasil - SPED/Nota Fiscal eletronica

The Nota Fiscal eletronica is part of the project for introducing the “Public Digital Accounting System”, SPED – Sistema Público de Escrituração Digital. The project consists of a number of subprojects:

  • Nota Fiscal (de Serviços) Eletrônica, NF(S)e: electronic invoicing including authorization of every invoice by tax authorities
  • SPED Fiscal, EFD: financial reporting to tax authorities
  • SPED Contábil, ECD: reporting of accounts to tax authorities / chambers of commerce
  • Conhecimento de Transporte eletrônico (CT-e): documentation accompanying shipments
  • Central de Balanços: centralized, national-level system of reporting and analysis
  • E-LALUR: additional reporting to tax authorities

SAP has already developed and supplied solutions for the first three subprojects. While SPED Fiscal and SPED Contábil model legal reporting requirements (Legal Books) in file form, introduction of the electronic Nota Fiscal specifies comprehensive requirements for the implementation task. The invoicing process is modified due to the necessity of invoice authorization by public authorities and due to the omission of the usual Nota Fiscal. Customizing in ERP allows the process to be adapted to these requirements and to generate the XML file. Automatic data transfer to authorities is also modeled in the solution provided by SAP, using proprietary components which require additional hardware and software.

In line with our goal of presenting customers with foreseeable project costs, Phoron has installed each of these components on our own SAP systems and successfully put into operation the prototype system. On the basis of the resulting expertise we have developed procedures for efficient implementation of these legal requirements, in this way extending our series of successful projects in Brazil.

Optima – supply chain management portal for suppliers

Close collaboration with suppliers is crucial to the Optima Group’s project business for meeting deadlines and for project success. Communication by email, fax or letter was turning out to be inadequate and very time-consuming for the majority of order items. A modern Internet application could enable suppliers to view the relevant data directly.

Key points:

  • An SCM portal on SAP NetWeaver was implemented, the data for which is available on the backend R3 system.
  • Eligible suppliers can now access current data and confirm dates and prices themselves.
  • There is added value for the suppliers because they can also download data charts in various formats via the SCM portal and use them internally.
  • Already over 50% of the order volume goes through the SCM portal.

Optima - enterprise content management with SAP

Hundreds of thousands of documents stored on numerous distributed servers and work stations were difficult to locate when required. Safe archiving of important data was not guaranteed. The goal: all business information should be quick and easy to access.

Key points:

  • A comprehensive content management system based on SAP DVS and other components now enables safe archiving, fast access and easy retrieval of required documents
  • Seamless integration of the document management system and SAP means that any document can now be located for any business transaction
  • Access is now possible from all Optima Group locations via either SAPGui or Microsoft Office and over the Internet
  • Thanks to the central search function employees can now find what they want: the right information

Optima - SAP CRM

The Optima Group wanted to map all of their sales and service activities to a central CRM system for employees. This was also to secure access to relevant data across different time zones.

Maintenance of debtors and their contact names is performed in the CRM; entering single names and companies enables centralized maintenance of partner contacts where there is no direct sales contact. This core data is replicated as in Outlook, in order for it to be also made available to sales people via mobile devices.

As part of the activity management, sales activities are documented in the CRM Interaction Center (Win Client) and combined with various objects (across systems), i.e. a CRM activity can be combined with a quotation generated in R/3.

Marketing and campaign management is used for segmenting business partners and sending newsletters.
Customer-specific evaluation tools such as opportunity and machine lists (accessible via either GUI or web browser) completes this solution.

KLEE - SAP R/3 Roll-Out

Klee is a manufacturer of freeze dryers and loading systems specifically for the pharmaceutical industry. Through the Optima Group’s involvement with Klee, it became apparent that Klee’s in-house developed system would have to be replaced. The rollout of all modules and the required integration with the Optima Group’s SAP system landscape represented a further step in the growth of this medium-sized specialist equipment manufacturer.
